Understanding Monthly Services

Monthly Services are designed for small to medium software companies that need help keeping their end-user documentation up to date as they improve and expand their software. All services include a certain amount of monthly work that an expert is guaranteed available for.

Rollover months mean that hours unused can be rolled over for use in the next month.

For example, in the Premium plan, you get 10 service hours a month. If you only use 2 service hours in February, then you will have an additional 8 service hours to use in March. This means you would start March with 18 service hours.

Note that when it is April, any rollover hours from February will expire.

For the Enterprise plan, unused hours from the previous two months can be used.

The Basic plan does not have any rollover options, hours expire at the end of the month.

Some updates are scheduled like new features or UI overhauls, but others like bug fixes may happen quickly.

Engaging our Monthly Service means you are guaranteed to have an expert available to update your documentation and create release notes when you need them most. Save yourself the time of reaching out to old contacts for availability and know that you're covered as your software grows and changes.

If you have the Premium or Enterprise plan, you can use rollover hours from previous months to cover any additional hours of work.

If you use up all your rollover hours or have the Basic plan, then you'll simply be billed the service hours over in your next invoice. You'll notice that the hourly rate is commiserate with your plan.

If you go over your monthly limit 2 times, you'll automatically be bumped up to the next plan tier.

This is a great question and the answer is because every set of end-user documentation is different!

Charging based on articles could mean a high bill just to change one or two screenshots on a set of 10-20 articles - meanwhile, the fixes only took about an hour's worth of work on our end.

By charging by hour, we allow small and medium businesses to be flexible with how we work and what they need. You're only paying us when work is getting done - not based on an average of expected article costs.

Monthly Services covers a set number of service hours that our experts will spend a month keeping your end-user documentation up to date.

This can include everything from creating release notes, to updating existing articles with new screenshots and steps, to creating new articles for new features!

The advantage is that you have locked in pricing and guaranteed availability to get your new documentation out in a reasonable amount of time.

While the service is set up for 12 months, you can cancel at any time with no penalty.

Services are billed on the first of the month, to avoid being billed for the next month, cancel your services by the 24th of the previous month.

If you went over your hours, you'll receive a final invoice with those hours within 10 business days of canceling the service.

Pick the Monthly Service plan you're interested in and then go ahead and schedule a call! The first thing we'll do is have a scoping call to make sure you've picked the best plan for you and teach you how the service works.
